Effective Date: October 27, 2026

This Privacy Notice explains how EzMosaic (“we,” “us,” or “our”) collects, uses, stores, and protects information when you use our websites, software, products, and services (collectively, the “Service”).

Different EzMosaic products may handle files and data differently. Where a product has additional privacy or storage terms, those terms should be read together with this Notice.

1. Information We Collect

Depending on the Service and features you use, we may collect the following information:

  • Account information: such as your email address.
  • Transaction information: such as payment records, Credit purchases, and Credit usage.
  • Device and network information: such as your browser type, operating system, IP address, and diagnostic information.
  • Feature data: data extracted from or generated from your files when needed to provide a feature, such as image-processing data.

For products designed to process original images locally, the original image files remain on your device and are not uploaded to our servers as part of that local-processing workflow. Some products or features may transmit feature data to our servers for processing.

The specific data handled depends on the product and features you use. Feature data should not automatically be considered anonymous, as it may contain information that could identify or be linked to a person.

2. How We Use and Store Data

We use information to provide and operate the Service, manage accounts and transactions, process feature data, generate outputs, maintain security, troubleshoot technical issues, and comply with applicable legal obligations.

2.1 Temporary Feature Data

For most products, feature data may be stored in temporary files while a project session is active. These files are intended to be deleted when you close the project session.

Some products may offer online storage or require feature data to be retained beyond an active project session. Such products may be subject to additional product-specific terms or storage policies explaining the data involved, its purpose, retention period, and available deletion options.

The handling of temporary files may depend on the product’s technical design and cleanup process. We do not describe temporary feature data as being held only in server memory.

2.2 Output File Storage

Storage practices depend on the product:

  • Desktop-client outputs: generated output files are stored locally on your device and are not covered by the Project File Temporary Storage Rules.
  • Web-based local processing: some products process or store files locally in your browser or device, where supported.
  • Eligible web-generated cloud outputs: eligible vector graphics and PDF files generated through the web version may be stored temporarily in the cloud under the Project File Temporary Storage Rules.

Under those Rules, the intended availability period for eligible cloud-stored outputs is up to 30 days from the date of generation, subject to a limit of 500 files per account. Files that have passed the retention period or exceed the storage limit may be removed through the applicable cleanup process. Deletion may not occur immediately when a file becomes eligible for cleanup.

Other products or storage features may have different retention periods and rules, which will be described in the applicable product-specific policy.

You should download and keep your own copies of important files. Temporary cloud storage should not be treated as a permanent archive or backup service.

3. Data Storage and Security

Our servers are located in Hong Kong. Depending on the Service and the providers involved in operating it, information may also be processed or stored in other jurisdictions.

We take reasonable measures designed to protect information, including HTTPS encryption in transit and access controls. However, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.

We retain information only for as long as reasonably necessary for the purposes described in this Notice, subject to applicable law and relevant product-specific policies. Transaction records may be retained for at least three years where required for legal, accounting, or other legitimate recordkeeping purposes.

Retention and deletion may differ between account information, transaction records, temporary feature data, and generated output files.

4. Sharing of Information

We do not sell personal information. We may disclose information where necessary to:

  • Service providers: providers that support hosting, infrastructure, security, communications, and other operational functions.
  • Payment processors: third-party providers that process payments, such as WeChat Pay or Alipay, where available.
  • Legal and regulatory authorities: where disclosure is required by law or is necessary to respond to valid legal requests.
  • Business successors: in connection with a merger, acquisition, restructuring, or transfer of all or part of our business, subject to appropriate protections.

We aim to limit disclosures to information reasonably necessary for the relevant purpose. Service providers may process information on our behalf in accordance with their roles and applicable agreements and legal requirements.

5. Your Choices and Rights

Subject to applicable law, you may have rights to request access to, correction of, or deletion of your personal information, or to exercise other rights available in your jurisdiction.

For cloud-stored outputs, you may be able to download or delete files through the relevant product interface. Available controls and deletion procedures may vary by product.

To request account cancellation, contact support@ezmosaic.com. We may ask you to verify your identity and aim to process account cancellation requests within 15 business days.

After account cancellation, we will delete or de-identify account information as appropriate, subject to applicable legal requirements and legitimate retention needs. Transaction records may be retained for at least three years where required. Information that remains capable of being linked to you will continue to be handled in accordance with this Notice and applicable law.

Account cancellation does not necessarily mean that every transaction record, legally required record, or previously generated file is immediately deleted. The handling of output files remains subject to the relevant product and storage rules.

6. Children

The Service is not intended for children below the minimum age permitted by applicable law. Where use by a minor is legally permitted, any required parental or guardian authorization must be obtained. If we learn that we have collected personal information in violation of applicable requirements, we will take appropriate steps.

7. Third-Party Services

The Service may rely on or link to third-party services. Their privacy practices are governed by their own policies, and we encourage you to review those policies when using their services.

8. Changes to This Notice

We may update this Privacy Notice from time to time. We will publish the updated version and revise the Effective Date. Where required by law, we will provide additional notice or obtain consent for material changes.
